What's in this resignation letter template for Google Docs
The sample letter is from a fictional sales associate, Chris Delaney, resigning from a bookstore after three years. It fits easily on one US Letter page.
- Name header. Your name in large type with your email and phone number on the line below, and a short colored rule underneath.
- Date and recipient. The date you hand in the letter, then your manager's name and job title with the company name.
- Greeting. "Dear Ms. Lowe," addressed to your direct manager by name.
- Resignation paragraph. A formal statement that you are resigning from your position, the job title, and your last working day based on two weeks' notice.
- Thank-you paragraph. A short thanks for the support and an offer to help train your replacement.
- Sign-off. "Best regards," and your name.
There is a small illustration in the top corner and a note in the footer, both of which you can remove in your copy.
How to write a two weeks notice letter
A resignation letter is a record, not a conversation. Tell your manager in person or on a call first, then hand over the letter the same day. Keep it short and include these points:
- The facts in the first paragraph. Your job title, the fact that you are resigning and your exact last working day. Count the notice period from the day you hand in the letter: in the sample, a letter dated October 15 gives a last day of October 29.
- A brief thank-you. One or two sentences about what you appreciated. Keep it sincere and specific if you can.
- An offer to help with the handover. Training a replacement, writing notes on your open tasks or finishing a project are all reasonable offers.
- Contact details. Use a personal email in the header so HR can reach you after your work account is closed.
You do not need to explain why you are leaving or mention your new job. Avoid complaints and criticism in the letter: it may be kept in your personnel file and read by people you have never met. If you have issues to raise, an exit interview is the better place.
Notice periods and final pay rules depend on your contract, company policy and where you work. Check what applies to you before you set your last day; this template is not legal advice.
How to edit the resignation letter template in Google Docs
Click Use this template on this page, or open the preview and go to File > Make a copy. The copy saves privately to your Google Drive, which matters for a letter you may not want anyone to see yet. If copying does not work, our guide on how to copy a Google Doc explains why.
- Your details. Type your name over the sample and replace the email and phone number in the line below.
- Recipient and date. Use your manager's correct name and title. Write the date in full so the notice period is clear.
- Tone. Edit the thank-you paragraph so it sounds like you. Delete the training offer if it does not apply.
- Fonts and color. Use the toolbar font menu and text color button. A plain font in black is always acceptable for this kind of letter.
- Decorations and page. Click the corner illustration and press Delete, double-click the footer to remove the sample note, and use File > Page setup if you need A4 instead of Letter.
If you want to sign a printed version, leave a few blank lines between "Best regards," and your name. For a digital signature, insert an image of it with Insert > Image, or draw one with Insert > Drawing > New.
Print, email or export your letter of resignation
To hand it over on paper, use File > Print and sign it. To send it by email, go to File > Download > PDF Document (.pdf) and attach the file, with a subject line such as "Resignation – Chris Delaney". You can also paste the letter text into the body of the email and attach the PDF as well. Choose Microsoft Word (.docx) if HR asks for an editable copy.
Keep a copy of the PDF and the email you sent. If your company uses an HR system, upload the PDF there too. Avoid sharing the Google Doc link with your employer, since a Doc can still be edited after you send the link, while an attached PDF stays exactly as sent.
Simple, formal and immediate resignation letter variations
- Simple resignation letter. Keep only the first paragraph and the sign-off. Three sentences are enough to resign formally.
- Formal or professional resignation. Add a sentence offering to document your current projects and a line confirming you will return equipment such as a laptop or keys.
- Resignation with less notice. If you need to leave sooner, state the date plainly and add an apology for the short notice. Check your contract first, since some roles require a set notice period.
- Retirement or teaching roles. Retirement letters often mention years of service, and teachers usually time the last day to the end of a term. Adjust the thank-you paragraph to fit.
If you are leaving for a new role, our resume template and cover letter template use the same name header style. When you ask your manager to support future applications, share the letter of recommendation template with them. You can find all job-search documents in our career templates.
Resignation letter template FAQ
Do I have to give two weeks' notice?
In many jobs, two weeks is a widely expected courtesy rather than a fixed rule, but an employment contract, union agreement or company policy can set a different period. Check your own paperwork or ask HR before you choose your last day.
Should I resign by email or in person?
Tell your manager in person or on a call first, then follow up with the written letter so there is a dated record. Emailing the PDF is fine if your team works remotely.
Do I need to give a reason in my resignation letter?
No. A resignation letter only needs your position, your last day and a polite closing. You can share reasons in conversation if you want to.
How short can a two weeks notice letter be?
It can be three or four sentences: the resignation, the last day, a thank-you and your name. The sample in this template is a good length for most jobs.
Is this resignation letter template free?
Yes. Make a copy in your own Google account and edit it as you like. The names, company and dates in the sample are fictional.
